Prepare the intended image copy

Keep the approved logo safe and choose the copy intended for this signature. Check the account address before editing settings. If several business addresses are open, note which one should use this mark.

Confirm that the name and small details read beside your contact information. A wide screenshot of a logo preview is not the same as the prepared image copy.

Open the computer signature settings

On computer Gmail, choose Settings, then See all settings. Under General, find Signature. Create or select the intended signature and place the cursor where the image belongs.

Keep a copy of existing contact text before changing it. Work on the intended signature rather than replace a different one by mistake. These instructions name the computer interface, not mobile app menus.

Add the logo through a supported method

Google supports Upload, My Drive and Web Address. Drive and URL images must be publicly viewable. Use the image address, not a webpage.

Use the image control to choose your method. Match the chosen source with your prepared copy. Check the name and shape so another file is not inserted by mistake.

If a company policy prevents a method, ask your administrator about an approved option. Do not change broad sharing rules just to make one signature work. Inspect the inserted copy before proceeding.

Save the signature and select its defaults

Gmail supports separate signature defaults for new messages and replies. Select the intended ones, then choose Save Changes. Images contribute to the signature character limit.

Saving a signature does not by itself prove that the right one appears in every message. Keep a record of which signature name belongs to each account and use. Check that your contact text was retained.

Check a message and handle a failed image

  1. Open a new message after saving.
  2. Check the sending address and selected signature.
  3. Inspect the actual image, name and surrounding text.
  4. Check any logo link against its intended destination.
  5. If helpful, send a private check to your own address.
If the result differs from your plan
ProblemFirst check
Wrong or absent signatureThe account and saved default choices.
Broken imageThe actual source image and its access.
Oversized or unreadable markThe copy for email and displayed size.
Text unexpectedly changedThe saved signature text and formatting.

Use the linked Google troubleshooting page for the specific error you see. Finish when the saved intended signature appears in a real new message and its image can be read. Keep the approved source and account record for later changes.
