Collect the job details
A good file can still be used at the wrong size or in the wrong place. Write down the job before sending attachments. Keep one approved identity as the reference.
| Field | What to include |
|---|---|
| Item | For example, a paper label or a fabric bag. |
| Logo size | Width and height with units. |
| Placement | Which side and where on the item. |
| Background | The material or color behind the mark. |
| Artwork | Exact approved filename and version. |
| Timing | Needed date and when a proof can be checked. |
Ask the printer which measurements it needs. A finished logo width is different from a whole label width. Make that distinction clear.
Ask which file the printer needs
LogoTidy suggests SVG or vector PDF, with printer confirmation of size and color.

Ask whether the chosen file type is accepted for this job. If you only have PNG or JPG, say so and request the required dimensions. Do not rename a file to match a requested extension.
Raster density depends on the physical placement size.

Confirm color needs before production
RGB uses red, green and blue light channels. CMYK describes cyan, magenta, yellow and black process inks.
Sources for this point: Adobe color mode guide.
Ask which color mode the printer needs. Also ask for any required profile, the instructions for interpreting color, or spot colors, which are separately specified inks. The LogoTidy kit describes RGB or sRGB. That is not a promise of CMYK separations or a match to a named ink.
- Does the supplier need to change the color setup?
- Which color reference should the proof follow?
- Is a white area printed, or does the material show there?
- Does this job need extra artwork beyond the logo, such as a label layout?
If the answer changes the artwork, ask for a revised proof. Do not call the file ready for every print process just because it opens.
Write a short handoff note
Here is a fictional example you can adapt with your own facts. Keep unknown values as questions rather than filling them with guesses.
| Field | Example |
|---|---|
| Artwork | Approved horizontal logo, version 03. |
| Logo size | 30 millimeters wide, with height kept in proportion. |
| Placement | Centered on the front label. |
| Background | White label stock. |
| Color question | Please confirm the required color setup. |
| Proof request | Please show the whole logo at the stated size before production. |
Attach the requested file and a small preview for easy identification. If you include alternatives, label why each is there. Avoid sending a whole archive of drafts.
Check the proof against the approved logo
- Match the name and tagline letter by letter.
- Check all dots, accents, outlines and inside gaps.
- Compare the width and height with the job note.
- Check placement and the intended background.
- Ask about any color difference before agreeing to production.
If a detail is unclear in the proof, request a closer view or a suitable sample. Finish when the printer confirms the file setup and the proof matches the approved mark and your job note. Keep that proof with the files for this job.
