Confirm the app before editing

These steps cover classic Outlook for Windows. If your app differs, use its matching Microsoft instructions.

Write the app and version in your signature note. An instruction that fits a different interface can lead to the wrong setting or an incomplete change.

Prepare a version and account record
FieldWhat to identify
AppYour actual installed app and version.
AccountThe address that will use the signature.
SignatureThe specific one you intend to edit.
ArtworkIts approved copy for email.

Choose the correct signature and account

In a new message, choose Signature, then Signatures. Select the intended signature.

Keep any existing contact text before you change it. If several signatures look alike, compare their names and intended accounts. Do not replace the logo for another account without a decision.

Insert the prepared logo image

Choose the Image button, locate your file, then Insert.

Use the approved copy intended for email, not a whole logo board. Inspect whether the complete mark appears beside the correct text. Keep a source copy in case this placement needs another size.

Choose and check the signature image size

Keep proportions and choose defaults

Right click the image, choose Picture, then Size. Keep Lock aspect ratio and confirm with OK. In Signatures, choose the account defaults for new messages and replies, then use the final OK to save.

Compare the image with your approved source. If the name is too small, consider more room or an approved arrangement. Do not stretch the mark to fill a gap.

Check that the contact information stayed intact. Retain a short record of the chosen signature for each account so a later change is not based on memory.

Check a new message after saving

The message already open may need the signature inserted manually.

  • Is this the intended business account?
  • Are the name and contact text correct?
  • Does the complete logo match the approved artwork?
  • Does any link open the intended destination?
  • What remains unclear in the actual view?

If another account or device has no logo, inspect its own signature setup. Do not infer that every app received the same change.

Keep the account note, image and result together. Finish when the record matches what you can see and any unclear detail has been resolved. If the wrong identity appears, return to the selected file and account before changing the artwork.
